Wedding Terms & Conditions
Welcome to Arbutus & Ivy. By placing an order with us for wedding flowers and related services, you agree to the following terms and conditions. Please read them carefully before confirming your booking.
Booking & Payment
• A non-refundable deposit of £50 is required to secure your wedding date. This deposit will be deducted from the total balance.
• The remaining balance must be paid in full no later than 4 weeks before the wedding date. Failure to do so may result in cancellation of services.
• Payments can be made via bank transfer, cash, card or payment link via the invoice sent.
•.Flowers will not be ordered if full payment has not been received before or on the due date as shown on the invoice.
Cancellations & Refunds
If you cancel your order:
• All cancellations must be given in writing.
• More than 6 weeks before the wedding: You forfeit the deposit and 50% of the total balance will be charged.
• Less than 3 weeks before the wedding: You forfeit the deposit and 70% of the total balance will be charged.
• Anything 1 week or less before the wedding you will be charged the full amount of the total balance and also forfeit the deposit.
• If we are forced to cancel due to unforeseen circumstances (e.g., illness, extreme weather), we will issue a full refund or help arrange an alternative florist.
Changes to Orders
• Any changes to your floral order must be made no later than 4 weeks before the wedding. We will do our best to accommodate changes, but availability of flowers cannot be guaranteed.
• Any additional flowers or upgrades will be charged accordingly.
•The proposal given is subject to change dependent of flower, foliage & plant availability at the required
time of purchase this is done one week before the wedding date. Prices given in your proposal are valid for 1 month from the date on the document however if no deposit is received within the 1 month period the prices are subject to change.

Flower Availability & Substitutions
• Due to the nature of fresh flowers, availability is subject to seasonality and market conditions.
• If a specific flower is unavailable, we will substitute it with a similar flower of equal or greater value while maintaining the overall look and feel of your chosen design.
Delivery & Setup
• We will deliver and set up flowers at the agreed location and time. The client (or a designated person) must be present to confirm receipt.
• We do also charge a set up fee, this will be shown on your quote/invoice.
• Once flowers are delivered and accepted, we are no longer responsible for any damage or wilting due to environmental conditions (e.g., heat, lack of water).
Hire Items (e.g., Vases, Stands, Arches)
• All hired items remain our property and must be returned in their original condition within 48 hours after the wedding.
• Unless agreed in advance we will not collect the hired items from the venue after the wedding. We will also charge a small fee for this.
• Any lost, stolen, or damaged items will be charged at full replacement cost.
Liability
• We take great care in preparing and delivering your flowers; however, we are not liable for unforeseen circumstances such as venue restrictions, weather conditions, or third-party mishandling.
• In the event of unforeseen circumstances e.g. natural disasters, pandemics, strikes we will work with you to reschedule or provide a partial refund where applicable.
Photography & Promotion
• We reserve the right to take photographs of our floral arrangements for promotional purposes unless you explicitly request otherwise in writing.
